Sales and Document Settings

The defaults that shape your bids and documents live in the Sales & Documents group of the settings menu: Document Setup, Bid & Estimate Defaults, Templates, Product Catalog, and Lead Pipeline. Open any of them from Settings.

Document Setup settings showing the document style choices, accent color, footer, defaults for new bids, and a live preview of a proposal

How every generated document looks – proposals, change orders, invoices, pay applications, and daily reports – and how it is numbered:

  • Document style – Ledger, Modern, or Marquee.
  • Accent Color and Footer text.
  • Defaults for new bids – show the customer Total only, Line items, or the Full breakdown, and whether quantities and unit prices print.
  • Currency Display – round customer-facing amounts on bids and change orders to whole dollars.
  • Document Numbering – a Prefix, Starting number, and zero-padding for bids, projects, and invoices.

A Live Preview shows a sample proposal as you change the style. Your company name, logo, tagline, and contact details come from Company profile.

Defaults applied to every new bid:

  • Default Bid Rates – Margin, Commission, and Company OH, pre-filled on each new estimate.
  • Bid Validity & Terms – the default validity in days, the estimator SLA (how many days a draft bid without a due date can sit before the board warns you), and the default terms and conditions text.

Reusable content, on four tabs:

  • Email – email templates for bids, change orders, pay apps, and invoices, used by the send dialogs.
  • Bid terms – Payment Terms and Terms & Conditions clause libraries to apply on a bid.
  • CSV import – CSV import templates that map a supplier spreadsheet into a bid.
  • Project – reusable phase-and-task structures. See project templates.

Product Categories group your product catalog, including parent and child categories. Default Tax Rates for New Products set the purchase and sales tax pre-filled on new products, per category.

Lead Pipeline Stages – add, rename, reorder, and color your sales stages, and mark which stages count as Won or Lost. These stages drive the CRM pipeline board.
